A "simplified" set of Conditions of Hire are still being drawn up.
Allied Westminster provide the hall's insurance cover.
Most usual activities are covered by the policy. But if a user is a person or organisation that is making income from the use of the hall that must be covered by their own policy. For instance the pottery and painting classes have their own insurance, but the sculpture and wood carving groups (which do not have paid tutors) do not need it. Private bookings for parties etc are covered.
The hall has a local authority Premises Licence - see below document giving extracts. That includes the 24 hour sale of alcohol, but an authorisation must be issued and signed by both parties, the actual hours may be reduced to avoid late night nuisance. The hall cannot afford to lose this licence, so it is strict with its application - contravention will lead to activities being immediately closed down and future bookings being turned down.
The hall does NOT have a TV licence. Users may view or listen to broadcasts only using devices that are NOT powered by mains electricity!
Below there are various Risk Assessment documents prepared to satisfy the H&S and safeguarding issues raised by the insurance requirements.
The Risk Assessment & Method Statement has been drawn up to provide guidance for hall users about general safety and also tackling particular challenges such as flooding. It aims to help run the hall in an environmentally sustainable way, reducing waste and cutting expenses, while improving comfort levels and user happiness.
The fire extinguishers and emergency lighting are maintained with an annual inspection. Users must not remove them from brackets unless otherwise covered by temporary displays. Users must report any suspected faults or discharges.
PAT testing of portable electrical devices is carried out annually, users devices may be checked at this time, in response to posted notices just before the date. Devices brought in must be checked and safe.
There is a defibrillator device on the outside wall of the hall, near the front door. This is for use by the general public, regular hall users are encouraged to familiarise themselves with the use of it, following instructions contained with it. Training sessions are run occasionally.
The hall booking procedures are set out on a separate page.
